10 advice on contingency plans

1. Make it simple and easy to understand.

2. Your contingency plan must include simple checklists, actioncards and the basis for agendas.
— Forget RASCIer, long procedure and cross-references to other documents. Prepare only the action cards you actually consider to be strictly necessary.

3. Keep the gear in order and share the roles in colour. When the elephant controls, visual aids are needed.

4. Think about your language so that it is clear, simple and behavioural “you and Jeg-language”.

5. Please read the contingency plan regularly and adapt the text as necessary.

6. Communication both internally and externally needs to be considered in your plan. (and could usefully be prepared in advance).

7. Test your plan regularly.

8. Carry out evaluation after each activation and provide the plan.

9. Involve senior management when testing.

10. Think about the relationship with other plans in the organisation (suppliers, overall plan).

And remember: Contingency plans can be adapted, reality cannot!
